Cancellation & Payments Policy

(The Unbearably Important Bits)

We know life with little bearcubs can be unpredictable, but to keep things fair for all families and to make sure we can give every child the care they need, we have a simple policy in place:

1. Late Payment

To lock in your booking, a deposit must be paid no later than one week prior to your child’s appointment. Without it, your child’s appointment cannot be confirmed, and they will not receive treatment on the day.

2. No Refunds

Once you’ve booked your spot in our dental chair, the payment is non-refundable. That time is secured for you.

Partial refunds will only be considered in the following circumstances:

  • Where a valid medical certificate is provided confirming the patient was unfit to attend: or

  • Where treatment could not proceed because the child was unwilling or unable to accept treatment on the day

3. 48-Hour Cancellation Clause

If you cancel within 48 hours of your scheduled appointment, your deposit will not be returned. This fee is not rebated by Medicare or your health fund. Where a valid medical certificate is provided confirming the patient was unfit to attend, a partial refund may be considered, and the appointment will be rescheduled.

4. Late appointments 

Whilst we pride ourselves for running on time - dental emergencies or child appointments don't always go to plan - so please forgive us if we are running late. We will notify you as soon as we can if this unpredictability arises. 

Should you be running late, please let us know at your earliest convenience as we will need to notify other patients on the day of the schedule change as we don't want others to miss their scheduled appointment too. If you are more than 15 minutes late to your appointment there is a risk of a cancellation fee.
