Molar Bears Pty Ltd – Going the extra SMILE
Welcome to Molar Bears! By booking a service with us, you agree to the following terms and conditions. They’re here to keep everything smooth, fair, and respectful - for us, for you, and most importantly, for your little bear cubs.
1. Bookings
Appointments can be made via our online booking form, or directly by email or phone.
All new patients must complete a medical history form and provide consent (medical + media) before treatment.
A parent or legal guardian must be present for all patients under 18 years old (home visits only)
An educator must be present at all times for daycare/childcare visits.
A minimum of five children must be booked for home visits, unless we’re already scheduled to be in your area and have posted a call-out via our socials.
2. Invoicing & Payment
Molar Bears invoices manually via email after your child’s appointment.
Payment is due within 7 days unless otherwise arranged.
We do not currently process private health claims directly, but can provide itemised invoices for rebates.
All services are GST inclusive unless stated otherwise.
3. Cancellation Policy
We get it - life happens. But we’re a mobile service with limited spots, and late cancellations really impact us.
If you cancel within 48 hours of your appointment time, a $50 cancellation fee PER child will apply. This is not Healthfund rebatable.
If you cancel within 24 hours or fail to attend without notice, the full appointment fee may be charged.
Exceptions may apply for genuine emergencies - we’re human too, just reach out.
Cancellations must be made via phone, text, or email. Smoke signals and owls don’t count.
4. Running Late?
We try our best to run on time - especially when kids are involved - but sometimes the tooth fairy throws us a curveball.
If you're running late, please call or message us as soon as possible.
Arrivals to the daycare after 10.30am may result in reduced treatment time or a reschedule.
If we're running behind, we’ll always do our best to let you know ahead of time.
5. Parental Responsibilities
A parent or guardian must be present for consent, behaviour support, and post-treatment instructions. (Home visits only)
Please supervise siblings not being treated to avoid confusion, disruption, or unexpected toy diplomacy.
It’s your responsibility to ensure medical history forms are accurate and up-to-date before every visit.
6. Safety & Suitability
We reserve the right to refuse or delay treatment if:
It’s not clinically safe to proceed
Medical history is incomplete
Consent hasn’t been signed
A child is too distressed to safely provide care
In these cases, we’ll work with you to reschedule or refer as needed - we’re all about gentle, positive dental experiences.
7. Media & Consent
Photos/videos may only be taken with explicit prior consent (collected via the medical history form).
We’ll never share images of your child without your written permission.
You can withdraw consent at any time - no drama, just let us know.
8. Privacy
We care about your privacy as much as we care about plaque removal. Your personal information is protected in accordance with our Privacy Policy, and only used to support your care, admin, and bookings.
